WriteNow Estimating & Consulting writes estimates for restoration contractors from Memphis, Tennessee. This page says what the WriteNow portal and the WriteNow Field app keep, why, and who else handles it. It covers the website, the portal and the app.
What we keep
- About you and your company: your name, company, email and phone, and your company’s paperwork: the signed service agreement with your signature, your W-9 and your logo.
- About each job: the customer’s name, the property address and phone, the insurance company and its claim number, the date and cause of the damage, and the type of estimate.
- What you send: documents, photos, links and files, and anything emailed to the job’s own address.
- The drying log: rooms and their sizes, room scans made with the iPhone’s LiDAR sensor (a floor plan and a 3D model of the room), moisture readings, meter photos, equipment and close-out answers.
- In the office: notes, spoken notes (the recording and what was said), and the office’s own records for the job.
On your phone or computer, the portal keeps your WriteNow link and a copy of the drying log, so it opens without a signal. Readings and photos made without a signal stay on the device until they reach WriteNow. The app also remembers the last page you had open.
Why
To write your estimates, check that each job has what it needs, run the drying log, send the finished estimate and its documents to the job’s insurance company, and keep the office’s records. We don’t sell your information, show ads or track you across other apps and websites.
Who else handles it
- Cloudflare runs the portal and stores its records and files, sends WriteNow’s email, and prints the drying reports.
- The AI service WriteNow chooses reads uploaded documents and photos (what each one is, a meter’s number, an insurance company’s total) and writes up spoken notes. It reads them for WriteNow, and WriteNow will tell you which service it uses if you ask.
- The job’s insurance company receives the estimate and the job’s documents when WriteNow sends them.
- The website loads its typeface from Google Fonts.
How long we keep it
Job records and files are kept at least ten years, as estimating records are. A copy of the records is made every day; daily copies are kept 35 days, and the copy from the first of each month ten years.
Your choices
You can ask what we keep about you, ask us to correct it, or ask us to delete what we don’t have to keep. If your details are on a job a contractor sent us, you can ask too. WriteNow works for contractors: we don’t represent homeowners.
To ask, tell the estimator on your job, or reply to any email WriteNow has sent you.
Children
The portal and the app are for restoration contractors and their offices, not for children.
